Managed IT contracts fail at renewal because expectations weren't set at RFP. This guide is the playbook we wish every buyer had.

Decide the operating model first

  • Fully managed — the provider owns tooling, people, and outcomes. Best for lean IT teams.
  • Co-managed — you keep strategy and architecture; the provider augments L1/L2/L3 and after-hours. Best for mid-market and enterprise with internal IT leadership.
  • Staff augmentation — bodies on your tools. Rarely the right long-term answer.

Build the service catalogue before the RFP

Scope every service explicitly:

  • Service desk (channels, hours, language).
  • Endpoint management (imaging, patching, EDR).
  • Network operations (LAN/WAN, wireless, SD-WAN).
  • Cloud operations (IaaS/PaaS, FinOps, backup/DR).
  • Identity (IAM, SSO, MFA, joiners-movers-leavers).

  • Time-based (response / resolution) — commodity work.
